In those circumstances, the Hirer or event organiser will normally be a separate data controller and will be responsible for:

- complying with safeguarding requirements; and
- deleting information when it is no longer required.
Brandon TRA is not responsible for information collected independently by a Hirer merely because the activity takes place at the Hub.
A Hirer should not give us attendee lists, health information, safeguarding details or other personal information unless there is a genuine need and a lawful basis for doing so.
- Photography, Video and Audio Recordings
Where Brandon TRA or the Hub intends to take official photographs or recordings at an event, we will provide appropriate information about:
- who is taking them;
- why they are being taken;
- where they may be published;
- how long they may be retained;
- whether participation is optional; and
- how an individual can raise a concern.
11.1 Promotional Images
We may seek consent for close-up, identifiable or prominently featured promotional images, particularly where children are involved.
